Job Title: Executive Secretary to Managing Director & Chairman
Industry: Building Materials, Natural Stone, Marble Quarry, Calibration
Location: Muscat, Oman
Reporting To: Managing Director & Chairman
Job Purpose:
To provide high-level executive and administrative support to the Managing Director and Chairman. This position requires a highly organized, discreet, and detail-oriented individual with exceptional communication skills and the ability to handle complex and confidential tasks in a fast-paced environment. The ideal candidate will have industry-related experience, superior English language proficiency, and advanced computer application skills.
Key Responsibilities:
• Manage and coordinate the daily schedule, appointments, and meetings for top executives.
• Prepare high-quality correspondence, reports, memos, and presentations in English.
• Handle confidential and sensitive information with the utmost discretion.
• Act as the first point of contact for internal and external communications on behalf of the MD and Chairman.
• Organize and coordinate executive meetings, including agenda preparation, minutes taking, and follow-ups.
• Maintain organized filing systems for both physical and digital documents.
• Coordinate local and international travel arrangements, including flights, accommodation, visa processing, and itineraries.
• Track and monitor pending approvals, tasks, and important deadlines.
• Liaise with other departments and external stakeholders professionally and efficiently.
• Assist in reviewing and formatting business documents related to marble quarry operations, calibration reports, and material sales.
• Perform general secretarial duties including managing emails, answering calls, and maintaining office supplies.
Qualifications & Skills:
Bachelor's Degree in Business Administration, English, or related field.
Minimum 5–7 years of experience as an Executive Secretary, preferably in the building materials or industrial sector.
Exceptional command of written and spoken English.
Excellent knowledge of office management systems and procedures.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and other business tools.
Strong organizational and multitasking skills with attention to detail.
Professional appearance and demeanor.
Ability to work under pressure and meet tight deadlines.
High level of confidentiality, integrity, and discretion.
